The Accounting Specialist is responsible for supporting the Finance department on numerous tasks including month-end close, account reconciliations, monthly cash reconciliation. They will also help to maintain financial records ensuring the integrity of data in membership and financial database; assist with annual audit schedules, conduct financial analysis to support decision-making, assist with budget preparation, and provide customer service to internal and external stakeholders. The incumbent maintains internal financial controls, contributes and upholds department policy, and safeguards assets of CAS and members.
Duties and responsibilities include but are not limited to the following:
Finance Administration
Accurately record daily/weekly/monthly journal entries and month-end close
Prepare and post daily cash receipts from web, office batches, lockbox or manual deposits in Bank Reconciliation module; prepare monthly cash reconciliation
Perform reconciliations of general ledger accounts and monthly or quarterly account reconciliation schedules; research and resolve discrepancies
Record monthly revenue from webinars, seminars, events and prepare event budget to actual reconciliations
Prepare audit schedules and assist Director of Finance and Operations with audit requests
Assist in writing and revising financial policies and procedures as needed; maintain CAS Accounting Manual and make recommendations for improvement where appropriate
Support the annual budget development process
Reconcile accounts receivable and coordinate the collection effort with Administrative Customer Support team
Reporting and System Maintenance
Prepare quarterly and ad-hoc reports and account drilldowns for leadership team, staff, and volunteers
Respond to staff and vendor accounting related enquiries
Coordinate Society Partner program and sponsor invoicing and collection, reconcile partner account balances
Collaborate on department and CAS-wide projects and perform other duties as assigned
Serve as back-up to Accounting and Operations Coordinator as needed
Required Experience and Qualifications
Minimum of a 2-year associate degree in business, accounting, and 4-6 years relevant work experience in the non-profit sector
Proven knowledge of generally accepted accounting principles (GAAP), audit principles, standard accounting processes and procedures, and internal controls
Strong work ethic, positive attitude, dependable
Strong communication and interpersonal skills and ability to work well independently and with others
Solid analytical and organizational skills and ability to plan, track and perform multiple tasks; must be able to manage multiple priorities and be detailed oriented
Proficiency using e-mail communication, Microsoft Office suite (Word, Excel, PowerPoint) and automated accounting systems and AMS’s; Dynamics 365, Cobalt Microsoft CRM, Smartsheet preferred
Strong technical skills with proven aptitude for learning new technologies quickly and integrating them efficiently into workflow
This position allows for 4 days per week telework; the other day is in-person at our Arlington, VA Headquarters.
