The National Association for College Admission Counseling (NACAC) has an opening for the position of Membership Coordinator in the Membership, Affiliate Relations, and Governance Department. The coordinator reviews and approves new member applications to confirm specific criteria are met. Tasks involve careful research, communicating effectively both orally and in writing, and providing exemplary member service. The coordinator also ensures accurate and timely updating and entry of new member information into the association’s Customer Relations Management (CRM) system and provides assistance for membership, affiliate relations, and governance projects.
NACAC is an education association of more than 15,000 postsecondary and secondary schools, organizations, counselors, and college admission and financial aid officers that work with students as they make the transition from high school to postsecondary education. Provide excellent customer service to members, largely by phone and email communication.
Serve as the department’s first point of contact for membership inquiries, membership eligibility, application review and approval, and prospect requests.
Assist with the development and implementation of recruitment initiatives through omni-channel outreach that will include, social and digital media, direct mail, electronic marketing, and word of mouth campaigns.
Conduct extensive research using NACAC Board-approved resources as well as coordinate supporting documents to determine membership eligibility for the various membership categories.
Fulfill member and prospective member requests for information/literature including electronic lists, mailings, member status research, and invoice requests in a timely manner.
Assure that new members are processed quickly and efficiently and maintain data integrity for each new member record.
Oversee the member onboarding process by instituting drip messaging campaigns to introduce member benefits and maintain continuous engagement with new members.
Collaborate with the data management team to ensure accurate and timely member record and information updates.
Maintain and update rosters for various committees and subgroups.
Coordinate NACAC booth planning and preparation for national conference.
Attend NACAC conference and serve as primary representative for NACAC booth onsite, including: training NACAC staff, greeting attendees, managing booth traffic, setting up and inventorying materials, and coordinating onsite promotions.
Package and ship supplies and materials related to supporting tellers at the national conference.
Support the work of membership- and affiliate-related committees and councils: collate materials; prepare charts and spreadsheets; assist with logistical planning for meetings; and take and prepare draft minutes as requested.
Update and maintain the membership areas of the NACAC website, including developing copy for various segments.
Package NACAC literature for shipment to national events, meetings or affiliate conferences.
Provide temporary coverage and back-up for the front desk per scheduled rotation or as requested.
Provide general administrative support to the department and perform other duties as assigned by department management.
Provide program assistance to the NACAC Imagine Grant and Rising Star Awards programs, including: committee meeting support, submission coordination, and financial reporting and reconciliation.
Support the work of the Affiliate Presidents Council as requested: prepare name badges; collate handouts and material, and perform other administrative duties as assigned.
Two to three years of association experience.
Experience creating copy for websites and print material.
Experience managing social media campaigns.
General office experience similar in nature to the responsibilities of the position.
Knowledge, Skills and Abilities
Exceptional member/customer service skills – particularly excellent phone/email etiquette.
Strong writing abilities that include solid grammar and punctuation skills.
Efficient and accurate attention to detail with high-volume activity.
Ability to provide information clearly by phone and in writing.
Flexibility to effectively support multiple projects.
Knowledge and application of word processing and database software.
Ability to work with numbers and create Excel spreadsheets.
