Busy Chicago trade association seeks experienced full-time administrative professional to support the successful implementation and execution of signature events, programs and membership marketing and communication efforts. This position will report to the Vice President of Operations.
Events and Programs
-Provide support for all association events and programs as needed and assigned. Duties will include attendee and sponsor outreach, communication and marketing; registration and onsite logistics; and post- event procedures and follow up.
-Work with Director of Special Events to facilitate the coordination of an annual Trade Show & Education Conference and industry award program (CAMME). This includes exhibitor, nominee, sponsor and attendee registration processes and set up; outreach to prior year participants; obtaining certificates of insurance and required documentation; collecting company logos and contact information for marketing materials; speaker coordination; member assistance with online exhibitor sales procedures and follow up to requests for additional information.
Membership, Marketing and Administration
-Respond to general member inquiries and fulfill requests for information. Assist with new member onboarding and prospective member processes and procedures.
-Generate data and reports for targeted marketing campaigns and programs. Work with staff to coordinate distribution of information through email, website and online promotional tools.
-Perform member database and website maintenance as needed.
-Attend committee and board meetings as requested; draft minutes and prepare meeting materials and power point presentations.
-Assist other staff members with general administrative support as needed.

Knowledge, Skills and Abilities
Excellent oral and writing skills ; superior proofing skills a plus, with an attention to detail
Superior organizational and time management skills
Customer service driven with a positive attitude
Proficient in Microsoft Office, with an above average understanding of Excel and Power Point; familiarity with an AMS a plus
Demonstrated ability to multi-task and stay within timelines on multiple projects
Must be able to work independently and as a team player within a small office
Education and Experience
Must have bachelor’s degree from a four-year university
Minimum five years’ experience in an association setting preferable
