The successful candidate will be someone who excels in customer service, uses good judgment, takes initiative, attends to detail, works independently to meet established timelines, has a positive attitude and is a valuable contributor to the entire service delivery team. This position is primarily responsible for supporting client associations: updating and maintaining client websites, writing content for magazines and other publications, editing internal and external communications, and conference/special event materials. In addition to these technical skills, this person will be responsible for responding to member inquiries in a timely and effective manner, managing and reporting membership data, managing the membership renewal process, providing event and meeting support, conducting administrative duties essential for effective client operations and other duties as assigned. Attendance and reliability are essential in this position.
This entry-level position is full-time, exempt, and eligible for benefits (PTO, dental insurance, health insurance, 401k).
This position’s work schedule is Monday – Friday, 9 AM – 5:00 PM. Attendance required when client events fall outside of the work week and typical daily office hours and on an as needed basis for client workloads. The position will require local travel (monthly) and national travel (1-2 trips per year. Access to a reliable, licensed vehicle is necessary to staff local events.
This position reports to the Director of Operations – Indianapolis and works out of the Indianapolis office.
Typical Job Duties
Strong technical writing skills
Ability to edit content for grammar, style and consistency

Answer client association phone lines between 9 AM– 5:00 PM (Eastern), Monday-Friday, and provide backup support for corporate phone line
Field member inquiries received via phone or email; aid or forward as appropriate within one business day
Maintain accurate FAQ’s for member inquiries for each client, reviewed and updated annually and as needed
Update and maintain accurate membership records in client databases and perform regular database cleanup processes to ensure data integrity
Generate monthly membership reports
Prepare and distribute new member materials
Work with clients to update materials annually and as needed
Support the membership renewal process, issuing notices, processing renewals
Support education and certification programs by liaising with assigned committees, sending out materials, tracking member certifications in client databases, and reporting to committee chairs
Registration tracking and reporting
Assist with preparation and follow up for events, such as generating name badges, stuffing packets, distributing certificates
Provide onsite event and registration support; some travel required and may include evening and weekend events
Coordination of some monthly client events
Staff committee meetings, working with the chair to send out the agenda, take minutes, and distribute minutes, track attendance, order food for meetings, and other duties as needed
Maintain current documentation of relevant processes in each client’s organizational manual
Complete administrative duties/projects as assigned by the COO/Association Executive. Examples include conducting inventory and processing payment requests.
Fulfill orders for mailings, shipping and courier service
Perform other duties as assigned
Two or four-year degree; completion of a four-year degree preferred
Strong written and oral communication skills
Excellent customer service, project management and interpersonal skills
Working knowledge of databases particularly CiviCRM, Microsoft Dynamics and/or Your Membership; hands-on experience preferred
Proficient with computers and various software applications, particularly Microsoft Office Suite
Strong organizational skills and attention to detail
