General: The Member Services & Office Coordinator works with the member services team and acts as the frontline support for the organization.
Scope: The Member Services & Office Coordinator reports directly to the VP, Business Practices and Member Engagement, and is an important first line resource for members - from onboarding of new members to helping existing members. This position is also responsible for providing general office and administrative services including office reception.
Assist with onboarding process
Maintain membership profile and other database updates
Assist with non-renewal process
Monitor member services email/inquiry boxes and distribute as appropriate
Work with the VP, Business Practices & Member Engagement on member outreach to encourage participation in IAA events, committees, and other benefits
Help generate account and engagement reports and other database activities
Provide event registration support to individuals as needed
Assist with pre-conference preparation
Provide on-site assistance with conferences and events
Assist with packing, unpacking, and shipping of conference materials
Office reception including answering phones, coordinating deliveries, managing office supplies and distributing mail
Maintain check log (record of incoming cash receipts) and reconcile to database
Provide administrative support to include copying, printing, mailings, shipping, scheduling, travel arrangements, expense reports, ordering/re-stocking supplies
Team player with great problem solving skills
Excellent interpersonal skills
Effective oral and written communication skills
Proficiency with MS Office, CRM database experience a plus
