The Director, Membership and Meetings, reporting directly to an ACPM Vice President, will be the primary source of knowledge, intelligence and decision making as it relates to membership and meetings related functions. The director will be responsible for governance by ensuring the proper volunteer alignment, training, onboarding and infrastructure to engage members and cultivate leaders in the College. Working closely with the relevant committees of the College and of the Board, the director will be responsible for leading organizational strategic priorities related to these areas, and developing, refining and executing the work plans for these areas. The director assures effective planning and delivery of all ACPM’s membership recruitment, engagement and volunteer onboarding and delivers towards the strategic direction and performance of the College.
Position Functions and Responsibilities
Supervise the staff in membership and meetings department.
Provide guidance to other team members as directed by the Vice President.
Explore potential membership markets, design cutting-edge strategies for recruitment, and expand ACPM membership among physicians and other aligned associations.
Improve membership retention and renewal through identification and implementation of strategies to engage members in line with the strategic plan.
Cultivate opportunities for membership acquisition and retention through collaboration with ACPM staff, member volunteers and collegial organizations.
Develop and utilize analytics and tools to measure member touch points with association events, products and services and design / deliver new member value initiatives working in collaboration on unique or innovative products and services.
Work with Vice President and nominating/awards committee to prepare yearly slate of candidates for officers and Board elections; conduct and monitor election/results; and identify, select, and honor ACPM award winners.
Supervise Fellowship application and review process, including compiling and documenting candidate requirements and facilitating Membership Committee review. Build and present an enhanced and revised Fellowship program generating new interest and revenues.
Leverage ACPM’s Association Management System to segment members and design programs based on collected data.
Evaluate and implement robust data mining and tracking tools to analyze member demographics and engagement trends and provide reports for performance dashboard tracking.
Develop and execute member surveys to assure data-driven needs assessments, recruitment and retention strategies.
Align membership benefits and initiatives to ACPM’s mission and strategic plan.
Appropriately allocate association's available resources to deliver maximum value to members.
Meeting planning. Direct and manage the association’s meetings and events, from planning to implementation, including supporting the association’s conference and course chairs and planning committees in developing the educational content.
Speaker logistics. Oversee all speaker communications, including conference invitations, travel arrangements for Government officials, and approval of expense reimbursements.
Site selection and hotel contracting. Responsible for preparation of meeting specifications and RFP, site selection, and hotel contract negotiations in coordination with ACPM’s partner, IMN Solution.
Conference logistics. Oversee all conference logistics, including preparatory logistics such as speaker management, session assignments, food and beverage, rooming list, etc. and onsite logistics such as management and supervision of hotel staff, AV vendor, temporary registration staff, volunteers and Exhibit Company.
Conference partnerships. Responsible for securing conference partners and supporting organizations and for leading and/or assisting in the preparation of online educational/conference grant applications.
Understand and implement financial metrics as they relate to member acquisition, lifetime value, renewal, retention, the cost of membership benefits, cost-per-attendee, education products, and conference revenue and expenses.
Oversee role of governance for ACPM by managing Governance Assistant, monitoring by-laws, nominations, Board of Regents, and Committee members.
Prepare annual budget projections for membership and meeting department’s activities. Ensure budgets are managed to achieve projected margins.
Ensure budget adherence for all programs and services.
Contribute to the overall success of ACPM by performing all other essential duties and responsibilities as assigned.
Knowledge, Skills and Abilities
Knowledge of meetings industry, forecasting, scheduling, engaging, production, contract negotiations, business projections and design to ensure profits.
Professional demeanor and experience leading and working on a high-performing team.
Ability to establish and maintain positive, collaborative relationships with staff, consultants, association members, volunteers and medical and public health colleagues.
Membership recruitment and management expertise including association management tools.
Expertise in association governance, bylaws and committee support and structures.
Experience with work plans, budget monitoring, management, and flexibility.
Bachelor’s Degree; Master’s degree a plus.
Minimum of 8-10 years of applicable experience; 5+ years of supervisory experience.
Experience in working in non-profit/association.
