Potomac Management Resources, a full-service Association Management Company, is looking to expand our staff by hiring a dynamic and driven individual who can generate ideas to meet and exceed clients' needs.
About the Position
Account Managers have primary oversight responsibility for up to two to four association clients. General duties will include management of the “nuts to bolts” for association clients, including member/donor database and fulfillment, board relations, marketing/communications, meeting and event management, budgeting/financial concerns, and general association administration.
Account Managers manage the day-to-day aspects of client contracts, with mentoring and supervision from an Account Director. They serve as the primary point of contact and are responsible for administrative functions including Board liaison to the membership, communications, and event staff, coordinating association finances with the bookkeeper, and managing outside vendors. Account Managers have the ultimate responsibility of ensuring that client tasks are completed properly and on time.
Must be willing to do everything from stuffing envelopes to brainstorming the next big thing. May include personnel management.
Oversee day-to-day operations of nonprofit association clients, including admin, Board, membership, communications, events, financial, and program support
Liaison to Board members and key committee chairs; plan for and attend Board meetings
Communications management (outreach to members via newsletters, email marketing, and social media)
Support and attend educational programs
Update and maintain websites
Complete special projects as assigned

Answering phone lines (PMR and all clients)
Attend staff meetings
Maintain organized filing system
Effectively communicate project status with other team members
Complete special projects as assigned
Coordinate efforts with other staff
Administer and improve the clients’ missions
Maintain knowledge of client industry and current events
Maintain organization of client filing system
Monitor client storage, track inventory of items in storage
Develop & maintain industry calendar of events
Assist in preparation of and monitor annual budget
Ensure annual filings are completed
Day-to-day coordination and consultation with volunteer leadership
Support and manage client nominations and election process
Manage logistics associated with Board meetings/retreats
Attend Board meetings
Take minutes at board meetings when required
Note board meeting action items and follow up on them with appropriate staff and/or board member
Design and implement of Board policies, governance materials, and Board orientations
Manage the preparation and distribution of Board meeting notices; Distribute meeting agendas, proxies, financial reports, membership reports, and all post-meeting minutes, reports, and materials
Monitor attendance at Board meetings
Report to Board on a regular basis about administrative activities
Periodically review scope of services
Respond to requests for taxpayer ID numbers
Generate and track outgoing invoices
Prepare check deposit and credit card reports
Properly code incoming invoices from vendors
Provide information needed to bookkeeper to generate accurate financial reports (research any discrepancies in reports)
Monitor/respond to client email; forward relevant emails to other staff for follow up
Oversee development of all communications (press releases, website, emails, direct mail, flyers, etc.)
Respond to membership inquiries
Work with membership committee to build membership, increase prospects
Coordinate special client programs, mentor programs, career days, sponsor appreciation, recruitment campaigns, etc. Serve as liaison with Committee chairs and organizers.
In conjunction with client/Event Specialists:
Develop and monitor event budget (including establishing registration fees)
Develop and monitor event timeline
Develop & maintain a master calendar of events for client
Assist in agenda development
Attend programs: liaison with speaker, Board, and members
At least 2-3 years experience in association management; marketing and/or membership development
Comfortable with decision-making and substantial autonomy
Organized, high level attention to detail
Ability to work concurrently on multiple tasks and meet required deadlines
Demonstrated experience in troubleshooting; knowing what the client wants before they know they want it
Experience in an association or customer service oriented position
Professionalism and strong work ethic
Capacity to work in a team environment
