The Director, Meetings is responsible for leading the Meetings team to develop, communicate, and manage the onsite execution of EO’s organizational meetings. The incumbent will be the primary liaison to the Executive Office, responsible for directing strategy, executing on the vision, and ensuring event success to help support the organization’s vision, mission and core values. The Director will also be responsible for supervision and development of the members of the Meetings team.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Provides ideas and input on strategic imperatives to the VP, Events both proactively and as directed.
Supervise and develop the members of the Meetings team, including a Coordinator and Manager.
Develops and improves event templates, processes, and procedures to better meet the needs of EO’s committees and staff.
Coordinates and strategizes with the Executive Office on Board Meetings and organizational meetings such including, but not limited to:
Quarterly Board of Directors Meetings
Annual Planning Meeting (APM)
Regional Council Meeting (RCM)
Global Leadership Conference (GLC)
All Committee Meeting (ACM)
Global Staff Week (GSW)
Strategic Planning Meeting (SPM - every 3-5 years as necessary)
Manages and oversees logistics and execution of Board Meetings and organizational meetings to include, but not limited to:
manage and execute site selection and hotel and supplier contracting with the VP, Events;
manage all vendors;
maintain program agenda in conjunction with the various EO teams responsible for content;
create and maintain a balanced program budget;
coordinate all aspects of the event planning process (hotel room blocks, all Food and Beverage functions, Audio/Visual needs, transportation, off-site activities, pre and post tours, etc.) with support provided by the Events team;
liaise with other EO Staff regarding roles relevant to the event such as sponsorship, communications/PR, and membership related initiatives, as needed;
lead and prepare a team of EO Global staff for the on-site execution of GSW (create the event specifications document, staff schedule, lead regular meetings, manage staff on-site, etc.).
Manages and oversees logistics of GLC as event lead.
In addition to all of the management and logistics required for all meetings as part of this role, management of GLC will require close collaboration with all departments across the organization.
Provides guidance to the Executive Office on both the tactical and content-driven coordination between all meetings.
Effectively manage and support a member lead planning team (per event):
Ensure team is delivering exceptional member service, with well-run calls, responsive communications and sufficient support of local efforts;
Ensure team is meeting metrics and deliverables regarding event;
Schedule monthly/weekly one-on-one meetings to review and debrief on all program progress, updates, development and execution (other items as necessary);
Create, provide and explain documents/templates for the team to use to ensure communication with members, staff, partners, et. al, are professional, clear and concise;
Performs other duties as assigned.
QUALIFICATIONS, SKILLS, AND KNOWLEDGE REQUIRED
Bachelor’s degree in any field.
5-7 years’ event planning and operating experience, preferably within a nonprofit or association.
2-3 years’ event committee management.
Minimum 2 years’ supervisory experience.
Any or all of the following certifications/professional memberships preferred:
MPI (Meeting Planners International) membership
CMP (Certified Meeting Professional)
PMP (Project Management Professional)
Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other computer software systems.
Excellent organizational skills and attention to detail.
Ability to interact with entrepreneurs with tact diplomacy and poise
Well-developed analytical and problem solving skills.
Works harmoniously and effectively with others as part of a team.
A self-starter who desires to show ownership and commitment to the job.
Exercises confidentiality and discretion.
