Job summary Contributes to a team responsible for organizing conferences and educational programming that helps CHA members network, share best practices and learn about important aspects of pediatric health care. Activities may include meeting preparation and support, member and CHA staff communication, and project management. Essential duties and responsibilities SUPPORT CONFERENCE ACTIVITIES Manage conference projects, including: - Create meeting evaluations using survey tool
- Organize meeting content for distribution
- Execute and communicate outcomes to team members
- Create conference learning guide in collaboration with the Communications and Marketing team
- Create marketing lists for email communications to members
- Communicate and work with speakers
SUPPORT TO FORUM ACTIVITIES Manages assigned forum and/or conference projects, including: - Scheduling conference calls and webinars
- Managing annual invoice process
- Creating meeting evaluations
- Organizing meeting content for distribution and application of continuing education credits
- Executing and communicating outcomes to team members
- Communicating and working with industry experts and presenters
EXECUTE PROGRAM DELIVERABLES Coordinate meeting needs, including: - Manage meeting registration
- Create and manage customized project checklists
- Prepare meeting documents and meeting packets
- Assist internal stakeholders to deliver CHA work and outcomes before, during, and after programs including participating in staff conference orientations and training
- Partner with Event Services staff, providing necessary program information for logistical arrangements including onsite signage
- Responsible for on-site meeting activities and logistics as assigned, including:
- Setting up equipment
- Working with personnel at meeting facilities (e.g., hotel personnel)
- Supporting forum meetings and conference learning sessions
- Contribute to conference and session evaluation process and participate in post-conference analysis with staff planning committees
- Responsible for logistical coordination and support for program deliverables, including webinars, conference calls, projects, etc.
- Use technology platforms to maintain or update information including:
- Website content
- Survey creation
- Customer Relationship Management tool (CRM)
- Webinar products
- Conference platform including call for proposals, review of abstracts and speaker information
PROVIDE CUSTOMER SERVICE TO PROGRAM PARTICIPANTS Develop professional relationships with members through communication channels, active problem solving and networking at CHA meetings and events. - Serve as a communication liaison for Education staff and CHA, including:
- Respond to member requests
- Interact with a variety of outside contacts, such as the offices of hospital senior executives, hospital staff, consultants, vendors, expert panel participants and meeting speakers
- Support CHA needs through a variety of administrative projects.
