ABA is seeking a Senior Manager, Production who will report to the VP, Creative Director and will be responsible for managing the 1000 plus projects requested annually from the Creative Services department for copywriting, digital and print design, video creation and printing and mailing services. This includes developing and managing adherence to production schedules for every project, monitoring project progress for the team of graphic designers and video editors and managing relationships with external vendors regarding bidding, printing, mailing and invoice payments. Additional responsibilities include managing the scheduling, taping and recording of monthly video and audio podcasts, assisting on all video shoots and maintaining video and photography archives.
Key Responsibilities:
Design Traffic Management
Receive and review all project requests submitted to the Creative Services team. Work with marketing team to ensure all required information and assets are included.
Work with Creative Director to assign creative resources.
Liaise with project owners, marketing directors, writers, and designers to develop and maintain deliverable schedules.
Keep job status up to date within Workfront project management system.
Using the project planning documents, proactively create long-range project schedules for major initiatives to facilitate better project planning.
Regularly monitor master project calendar and project planning documents.
Reviews daily work schedule with Creative Director and designers.
Remind project owners of impending or lapsed deadlines.
Foresee potential scheduling and delivery conflicts early and proactively propose solutions for resolution.
Makes sure all materials are properly signed off and approved by marketing directors, project owners, Creative Director, and SVP of Marketing as required.
Production Management and Vendor Sourcing
Coordinate production, including vendor sourcing, specifying project details, paper, and special printing techniques.
Obtain 3 bids for all large to mid-sized projects to ensure best prices.
Regularly vet new print, direct mail, and mailing vendors to improve production costs, quality, and turn-around times.
Manage a database of contacts, specs, print bids, and final invoices.
Advise internal clients on production projects and recommend cost effective options.
Continuously research new trends in printing technology and postal regulation changes.
Route invoices to budget owners and follows up to ensure timely processing.
Video Production
Handle all coordination for production of video and audio podcasts.
Assists on all video shoots, helping with set-up, sound, lighting, and make-up.
Responsible for on- and off-site logistics, including scheduling, permissions, travel, etc.
Organizes and maintains all video and photography assets.
Manages and maintains the video studio and equipment.
Miscellaneous
Assist creative team in maintaining and archiving all digital files in an organized and consistent manner, including artwork, photography, and video files.
Research archives and stock resources for needed imagery and video footage.
Provide project owners with historic production information to assist in the creation of project planning documents and budgets for all major events and campaigns.
Analyze and report production metrics. Keeps record of time-consuming project issues and requests that contributed to budget overruns for use when reconciling monthly and yearly design costs.
Required Skills:
A minimum of 5+ years of project management experience at an agency or in-house creative services department.
4-year degree.
Strong organizational and project management skills with experience in scheduling and task dependencies.
Strong verbal and written communications skills and negotiation skills to work effectively with internal project owners and external vendors.
Detail-oriented and able to maintain a high level of accuracy on all work activities.
Knowledge of quality digital and offset printing, including specifying print projects.
Understanding of current postal regulations, especially mailing panel layout specifications.
Understanding and experience with print and digital marketing.
Proven ability to meet deadlines, while juggling multiple concurrent projects in a fast-paced environment.
Resourceful, with excellent problem-solving skills – must be able to foresee scheduling conflicts and take quick action when schedules go off course.
Capability to develop and maintain strong working relationships across teams and disciplines.
Proficiency with Microsoft Office suite and project management tools such as Workfront.
Preferred Experience:
Ability to organize and manage a small video studio.
Basic video and photography skills.
