The Coordinator of Standards is a new position. The Coordinator will provide administrative and managerial support to the Standards Department. This is a growth position that requires strong project management skills and attention to detail for the successful development and maintenance of the association’s American National Standards Institute (ANSI) standards program which serves as the foundation for the association’s educational offerings and language for the International Swimming Pool and Spa Code (ISPSC).
Essential Job Functions
The Coordinator of Standards will interact with staff, members of the association, industry volunteers as well as consumers. The Coordinator will collaborate with other pool and hot tub organizations, trade associations, government agencies, safety advocacy groups, and other ANSI Standards Developing Organizations (SDOs). This position requires a self-starter with a high attention to detail to prioritize the heavy workflow to accomplish goals. Daily tasks involve handling inquiries, document maintenance and retention, as well as data processing and management with a key focus on accuracy.
Comply with ANSI Essential Requirements: Due process requirements for American National Standards and PHTA Procedures for American National Standards (ANS).
Properly maintain both electronic and hard copy files for the ANSI audit scheduled once every five years.
Monitor ANSI Standards Action to identify activities of interest to PHTA stakeholders.
Manage, maintain and properly file all application forms received from the Standards Consensus Committee (SCC), Technical Committee (TC), Standards Writing Committees (SWCs), Recreational Water Quality Committee (RWQC), Glossary Committee and any other technical standards committees.
Manage the SpecBuilder balloting process for the ANSI SCC, TC, SWCs and other groups. This includes but is not limited to creating and tracking all votes, comments, and communication.
Provide website department updates for ANSI compliance such as an invitation to participate on a technical committee, notification of an ANSI Public Review for a particular standard, the announcement of a new or revised published standard, etc.
Maintain accurate member records in the membership database to produce committee rosters and reports as needed.
Respond to consumer, member and non-member technical and standards inquires (written, email, and telephone) in a professional and timely manner.
Schedule meetings (in-person, via teleconference or Internet), take meeting minutes, compile meeting material, prepare handouts, manage supplies and distribute information to relevant parties.
Assist with onsite standards committee logistics including meeting room set-up and post-meeting shipments.
Process outgoing mail and prepare shipments as required.
Organize and manage electronic and paper files.
Collaborate with other PHTA departments as necessary.
Monitor department inventory.
Comply with PHTA policies and procedures as well as support the PHTA Mission.
Perform other duties as assigned by the PHTA Senior Director of Standards or PHTA President & CEO.
Special projects and other duties as assigned.
Familiarity and experience with American National Standards Institute (ANSI) standardization requirements and procedures.
Knowledge of pool, spa or hot tub industry.
Trade association experience.
Project Management Professional (PMP) or related Certification.
At least 2-3 years of committee management experience.
Proficiency in Microsoft Office Suite: Excellent word processing skills and knowledge of Word, Excel, PowerPoint, and Outlook.

Physical Demands and Work Environment
The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The Coordinator will be required to constantly use a computer and other office equipment such as a calculator, copy machine and a computer printer. The Coordinator frequently communicates with members and non-members through email and phone conversations and must be able to exchange accurate information. This person must have the ability to learn processes, principles and procedures. Occasionally, the individual may have to lift and move audio/visual equipment, boxes of paper, mail and other items weighing up to 50 pounds.
This position is budgeted for $40,000 - $50,000 based on experience.
