This position supports strategic membership activities for the department including the awards program, volunteer groups administration, and assisting with administration of the association management database.
Essential Duties and Responsibilities:
Assist with maintaining netFORUM contact information, which includes all member and non-member records, new accounts, changes, and deletions.
Provide member mailing lists for marketing and communications distribution.
Serve as back up for registration activities at AAMVA events, including staffing the registration area as needed.
Volunteer Groups Administration
Manage volunteer group requests, the volunteer group email account (firstname.lastname@example.org), and respond to inquiries.
Maintain information and data related to member groups in the association management database (currently netFORUM).
Manage solicitation for group volunteers, volunteer applications, and appointments to groups (committees, subcommittees, working groups).
Work with group Project Managers to set up new groups, fill vacancies, maintain updated rosters, and sunset groups.
Maintain volunteer groups standard operating procedures (SOPs) and work with Project Managers to ensure compliance.
Maintain volunteer groups information on AAMVA’s website.
Serve as the association’s point of contact for the awards program online submission portal (currently Open Water).
Manage awards correspondence and the awards email group account (email@example.com) and respond to inquiries.
Manage awards program life cycle to include:
Annual awards schedule and deadlines.
Annual set up and testing of awards portal.
Maintain Awards Program information on AAMVA’s website.
Monitor awards submissions/nominations.
Manage awards judging process.
Prepare and send winner/non-winner communications.
Prepare and send governor/premier communications.
Order physical awards through AAMVA’s procurement system and prepare and ship physical awards for distribution at conferences.
Prepare awards-related program information, signage, scripts, and slide presentations for presentations.
Bachelor’s degree and at least 5-7 years’ experience, preferably in non-profit or association environment.
Experience working with association management databases (preferably netFORUM).
Excellent written and verbal communication skills.
Strong analytical and innovative problem-solving skills.
Excellent customer service skills and ability to develop strong relationships with colleagues and internal and external constituents.
Ability to efficiently handle multiple priorities in a fast-paced environment with attention to detail.
Demonstrated ability to work effectively with individuals at all levels and to communicate in both oral and written form, clearly and concisely with members, management, and support staff.
Ability to work independently, prioritize work assignments and to handle many projects simultaneously.
Ability to work under pressure and handle competing deadlines.
Proficient in Microsoft Office applications for a PC environment.
