The Assistant Manager will provide support services to Examination Activities. Liaise with the BOC Examination Committees, the BOC Board of Governors, and other volunteers; manage communication as well as build and maintain strong professional relationships with 120+ volunteers. Manage meeting logistics for 12-15 small (8-10 people) in-office examination committee meetings annually. Coordinate the travel and hotel for exam committee members and guests, handle all related meeting correspondence and documents, and provide catering during the meeting. Provide support for volunteers, staff, program directors, and special projects as assigned.
Special Characteristics
The Assistant Manager manages all aspects of examination committee meetings including the coordination of travel and hotel, meals, and all correspondence with staff, volunteers, and vendors.
The Assistant Manager must possess excellent organizational skills, have the ability to multitask, and pay close attention to detail. The ability to manage multiple projects with time sensitive components over an extended period of time is imperative. Excellent customer service and communication skills, both oral and written, are required.
The Assistant Manager must be able to work with volunteers, staff, and outside customers and vendors.
Essential Functions
Examination Committee Meeting
Manage the scheduling of in-office exam committee meetings.
Coordinate all arrangements for exam committee functions including travel, hotel, catering, and supplies.
Communicate effectively with committee members, invited guests, and appropriate staff regarding meeting information and arrangements.
Address needs of committee members and staff during meetings.
Complete committee expense reports and manage volunteer expense reports.
Manage exam committee membership. Work with committees to nominate members for additional terms and invite guests as needed.
Coordinate with BOC staff and appropriate committees in the writing of BOC newsletter articles..
Program Directors
Manage the BOC database of programs and program directors (NAACLS, CAAHEP, and ABHES).
Respond to communication from, and manage relationships with, educational program directors
Assist with the production and quality assurance of the Program Performance Reports (PPRs) and Examination Eligibility Verifications (EEVs).
Assist with the activities of the Program Director Advisory Committee (PDAC).
Review Program Director’s Guide to Certification and eLinks.
Educational Background
Associate degree or 60 semester hours from a regionally accredited college/university required. Baccalaureate degree preferred.
Work Experience
A minimum of two years of related work experience with a focus on customer service, working with volunteers, and/or hospitality.
Special Training/Skills
Excellent typing (minimum of 60 wpm)
Strong knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint)
Strong computer and database management skills
Proficient in business writing
Excellent communication (written and verbal) and customer service
Excellent organizational skills (ability to manage multiple projects simultaneously)
Ability to work congenially with volunteers
Must be able to work independently
Must be able to think critically to problem solve as needed
