Summary of Position:
The Sponsorship & Exhibits Manager is responsible for the execution of all logistics related to conference exhibits and sponsorships including supporting exhibit development, operations, registration, and onsite execution. Attractive candidates will have a strong desire to use their knowledge and skills in trade show management, sponsorship activation, marketing, and logistics to develop an exceptional experience for multi-generational audiences. The Sponsorship & Exhibits Manager will work closely with our sales and marketing teams to organize and execute events and activations while simultaneously focusing on enhancing and growing our sponsorship and trade show offerings.
ATD delivers a wide variety of conferences & events each year – the largest, our International Conference and Exposition, draws over 10,000 attendees and 400+ exhibitors.
Key Roles & Responsibilities:
Trade Show & Sponsorship Management
- Work closely and professionally with key stakeholders (sponsors, exhibitors, sales managers, content managers) to ensure all event objectives are clearly understood, sales opportunities – virtual and in-person - are well packaged and well-coordinated; serve as an advocate for the needs of the Sales team and sponsor/exhibiting companies
- Oversee floorplan development in partnership with the sales team; coordinate show floor activations, traffic drivers, and other programs to deliver customers to the show floor and facilitate exhibitors in driving traffic to their booths
- Manage sponsorship program development for annual conventions and small conferences; collaborate with the team to identify, develop and execute strategies for sponsorship and trade show deliverables including new opportunities, enhancements, and markets for offerings; maintain benchmarks with competitive and industry leading shows
- Manage exhibit booth and sponsorship fulfilment process and exhibit activity at assigned events including setting up exhibitor portal, communicating with exhibitors and sponsors, managing exhibit space in coordination with the Sales team, coordinating sponsor approval of fulfilment items, signage, etc.; create, track, and manage exhibit and sponsorship statistical information for events
- Ensure consistent collection of company logos and descriptions, session descriptions, speaker bios and other sponsored content pieces for use in directories, magazines, signs, mobile app, virtual platforms and other placements
- Develop and implement a robust communications plan to achieve higher levels of exhibitor and sponsor engagement; ensure exhibitors and sponsors understand the ATD audience and have appropriate messaging; monitor benefit utilization (registration allotments, ad placements, other branding or recognition opportunities) and lead follow-up efforts accordingly
- Coordinate with the Sales team on fulfilment reports
- Assess and provide evaluation of sponsorship and trade show programs with input from staff and relevant committees
- Coordinate exhibits displays and build outs for ATD areas and ATD booths at outside tradeshows, as assigned
Logistics Management
- In coordination with the team, manage all aspects of the production of assigned events and activities including decorator, AV, catering, signage, security, staffing, and on-site event logistics
- Collaborate with multi-departmental teams, including Marketing, Sales, Finance, Editorial, Creative, and others as appropriate, to develop logos, exhibitor prospectus, onsite guide, show management areas, etc.

- Ability to manage multiple projects simultaneously with precision and attention to detail while continually finding ways to improve processes to produce higher quality events with more effective results
- Inquisitive nature with a penchant for learning
- Demonstrated experience fulfilling benefits of exhibitors and sponsorships
- Experience working with an outsourced sales team a plus
- Exceptional customer service
- Excellent oral, written and interpersonal communication skills with special attention to detailed editing of promotional materials, website and print pieces
- Organized, detail oriented; able to meet deadlines, multitask in a fast-paced environment; excellent time management and prioritization skills
- Ability to problem-solve and make on-the-spot decisions while consulting and involving the appropriate stakeholders
Qualifications:?
- Minimum of 5+ years working with trade shows/exhibitions with at least 200 exhibitors
- CEM or CMP preferred
- Bachelor's degree required
- Staff supervisory experience helpful but not required
- Microsoft Office suite program experience (Outlook, Excel, OneDrive) especially Excel and spreadsheet experience
- Experience with Cadmium CD (or similar trade show management tool), Personify, and mobile app providers a plus – willingness to learn is required
- Travel required for Annual Conventions, Regional events and site visits as required
