Recruitment is taking place for the following position: Senior Manager, Sponsorships and Programs
Summary of Position: Manage sponsorships and industry/MECC programming activities within Board of Directors-Approved Policies. Major initiatives include but are not limited to sponsorship and advertising at the ATS International Conference (live/hybrid/virtual) and other official ATS functions as needed. Responsible for multi-million dollars in unaccredited program, advertising, and sponsorships annually. Primary liaison to meeting services, finance, comms, and IT departments for alignment of systems, operations, and communications. Strategic lead for funding plan. Responsible for all applications, reconciliations, and impact reporting to customers. This position reports to the Senior Director of Strategic Business Initiatives.
Principal Accountabilities:
Operational Responsibilities:
- Recommend annual funding model, including new and existing opportunities
- Develop annual department budget recommendations for sponsorships and programs.
- Collaborate with meeting services to ensure adequate opportunities and space to meet or exceed revenue goals at various ATS meetings. Manages the housing and registration process for sponsors/agencies with meeting services.
- Serve as primary contact with Finance Team, reconciling statement of accounts monthly for sponsorships and programs.
- Work with comms team to ensure promotion and inclusion of industry program and sponsorship in print and digital materials.
Programmatic Responsibilities:
- Develop, execute, measure, and report the impact and profitability of the following campaigns:
- Industry Supported Symposia
- Industry Theaters
- Guru Bars
- Hotel Meeting Space
- Requires close work with communications team to develop and schedule promotion and outreach.
- Develop and manage site build with IT for the Industry Program applications, and attendee list rental application.
International Conference Responsibilities:
- Serve as a member of Steering Committee.
- Manage development of ATS International Conference Rate Card and other promotional materials as required in conjunction with TriSrar (or similar).
- Manage Freeman (or similar) site to support sponsorship sales.
- Design and oversee content for International Conference Quick Start Guide, Non-CME Symposia Guide, and dedicated webpages for all industry programs.
- Manage the review process for collateral on sold advertising/sponsorships and emails for attendee list rental purchases.
- Manage the fulfillment of all sponsorship and advertising opportunities with General Services Contractor (Freeman) and agency (TriStar or other).
- Manage, execute, and report metrics to sponsors for all industry programs, sponsorships, and advertising.
- Manage, execute, and report metrics for all attendee list rental emails.
Benchmarking Responsibilities:
- Conduct regular reviews of competitive and similar meetings including advertising/sponsorship opportunities (virtual vs in-person), pricing vs attendance, print vs. digital, ACCME compliance and fair market value.
- Conduct regular reviews of large-scale conferences outside of our space to identify unique opportunities which can be tailored to a medical meeting.
Supervisory Responsibilities:
- Manage vendor relationships, invoicing, and reporting for sponsorship related items.

Required Business Related Travel (Approx 15%)
- Attend the ATS International Conference (third week of May)
- Three ATS IC site visits (Late June/Early July; October; March)
- Industry conferences for skill development and customer interactions as business conditions permit including IAEE, NYIAEE and HCEA
- Budget planning meeting with agency (August)
- Other meetings as needed
Qualifications:
- Bachelor’s degree or commensurate experience with a minimum of four years of experience, with demonstrated success
- Certified Exhibit Manager (CEM) preferred
- Must be able to work independently in a fast-paced work environment with established deadlines
- Ability to think strategically about the impact of an overall program, rather than individual tactics.
- Strong commitment to customer service
- Exceptional writing skills and attention to detail; Strong proofreading skills. Writing samples are required for any candidate. Experience working in areas of medical content development or medical writing is a plus.
- Ability to manage a multi-million-dollar budget and reconcile multiple initiatives against a master financial schedule.
- Exceptional project management skills and demonstrated attention to detail
- Salesforce or similar CRM experience required.
- Advanced skills in Excel will include links to different spreadsheets, data filters and formulas, and produce graphs and charts. Advanced skills in PowerPoint will include graphs and charts imported from Excel files.
