ABOUT THIS ROLE
At Quest Oracle Community , you will join an exciting team dedicated to creating a digital community and online experience that is changing the way users of Oracle enterprise software solutions share and learn.
As Senior Events Manager, you will have a major impact on developing Quest’s platform roadmap, working cross-functionally to ensure that business objectives/priorities are supported via effective project planning, vendor oversight and implementation. Strong project management skills are a must, as is the ability to dive deep into systems architecture design, features, and functionality without losing sight of strategic business objectives. This role is also responsible for establishing an effective end-to-end roadmap process from requirements intake to solution design and delivery.
You will work in a fast-paced environment managing multiple projects at once. You should have a love of learning, and a propensity to solve problems (not just find them) often technical in nature. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Serve as the lead for all in-person and virtual Quest events.
- Lead cross-functional project team including meetings, agendas, internal and external checklists, and timelines which shall include all deliverables, expectations and tasks associated with Quest events.
- Lead the development of event budget and manage budget tracking functions.
- Manage food and beverage functions, room sets, A/V orders, etc. for events as well as onsite fulfillment of the orders.
- Create room set diagrams for events.
- Track hotel room night pickup, hotel rates and other hotel data for historical and contract purposes.
- Prepare events-related updates for board meeting materials as assigned.
- Prepare meeting planner guides for staff prior to Quest events to include event logistics, contact information, production schedules, etc.
- Provide staff with information and planning materials for the Quest events.
- Anticipate event needs, establish priorities, and implement effective course of action with staff, venues, third parties, etc. in an extremely timely and accurate manner.
- Evaluate events-related contracts and hotel/venue event orders to ensure they accurately reflect requests and needs.
- Assist with the development of guidelines, venue contacts, etc. for exhibitors.
- Negotiate and manage vendors including but not limited to: General Service Contractor and Lead Retrieval Services. Handle all communications with vendors, reconcile invoices and request payments in a timely fashion.
- Work with General Service Contractor to manage all aspects of the expositions, including move-in schedules, exhibitor install and dismantle, move-out, and exhibitor activities.
- Other duties as assigned.
- An undergraduate degree
- Five + years of event management/planning and food & beverage management experience
- Ability to travel to Quest events
- Ability to regularly work in Eastern Time Zone
- Demonstrated professional, effective writing skills and polished verbal skills
- Proficiency with Microsoft Word, Excel, and PowerPoint
- Experience with managing logistics and food & beverage functions for large-scale events
- Experience working with clients and third-party vendors
- Experience working with a membership-based organization or association
- Experience using a booth placement and lead retrieval system/provider
