POSITION: ASSOCIATION MANAGEMENT SUPPORT SPECIALIST

POSITION OVERVIEW
The Association Management Support Specialist is the primary contact for our association members and/or stakeholders. Individual must possess strong project management, customer/member service, verbal and written skills, be confident interacting with senior-level executives, and be efficient and effective in an environment with numerous tight deadlines on a variety of projects. Additional requirements include the ability to work autonomously; outstanding organizational, communication and collaborative skills; writing and/or editing experience; rigorous attention to detail; and a proven sense of initiative and ownership. Ability to travel 2-3 times per year domestically.

POSITION RESPONSIBILITIES
Manage content and assets across websites/servers
Update sites monthly & as needed for projects through different interfaces/platforms
Co-lead website redesign and maintenance
Collaborate with Web Developer weekly to accomplish complex web development/projects
Work with Web Developer to create/manage content and solutions
Use software such as Adobe Acrobat, GIMP to create PDFs, graphics, find images, Canva
Work with Operations / AMS team for further support for AMS
Administrator of the Association Management System and Communications
First line support for members/staff for the AMS
Maintaining accurate records and reporting in the AMS such as keeping member information current based on information received
End date people that have left their jobs, add new contacts, and keep committee lists up to date
Provide support and training to other staff
Document processes and building out needed functions
Oversee and execute needed tasks and projects with vendors/consultants
Work with Operations / AMS vendor for further support
Curate member newsletter monthly by adding content, reviewing, testing, and getting approvals before distributing to members
Work in HubSpot to make recipient lists are maintained in addition to email content development and testing
Management of following resources
Organization of digital assets and filing in Dropbox
osTicket System to support agents to answer tickets
Webmaster & Customer Service inbox accounts
Database – basic editing with support from Web Developer
Google Analytics monthly/ad-hoc reporting
Compiling and posting of monthly market intelligence reports from consultants from start to end
HubSpot communications and supported integrations
Accounting
Collect and create proposals for digital asset improvements from vendors
Authorize services and payables for digital managements
Create purchase orders, authorize invoices, and support budget planning for digital assets needs
Events Support
Attend spring, winter and internal staff meetings (either in person or virtually)
Plan the logistics for under 100 person 1 ½ day event
Registration set-up
Liaise with the hotel, AV company and other vendors
Draft and send event communication in collaboration with communication manager
Work with creative on signage
Print and assemble badges
Participate onsite
Ship boxes to and from the office before and after the meetings
Administrative Assistance Support
Respond to incoming emails and phone calls
Forward inquiries to the right team member
Help members with database questions and event registration needs
Monitor incoming membership applications (put together membership summaries and send to the President for Board approval)
Participate in weekly manager meetings

QUALIFICATIONS
Bachelor’s degree required.
2-3 years of experience, preferred trade association.
Ability to work well in a team environment is essential.
Moderate to Advanced computer literacy required (Microsoft Office Excel linked data, intermediate HTML coding, CMS multi-site management, multi-systems digital management/support, RESTful API technology knowledge, basic SQL syntax knowledge, NoSQL concepts (Mongo, Apache SOLR), Google Analytics + technical marketing campaign tracking, high-level understanding of Node (ECMAScript) Application Lifecycle, basic Digital Publishing, technical documentation, website + micro services deployments.
Experience is preferred in the following platforms/software: Hannon Hill Cascade CMS, WordPress, Impexium (or other AMS), osTicket, Dropbox, HubSpot, MSOffice Suite, Digital Ocean, GIMP, Adobe Acrobat, Google Analytics, Excel linked tables, WordPress, Drupal.
