TITLE: Awards and Scholarship Coordinator

BONUS: 8% bonus potential based upon achievement of defined goals

Summary:
SME is seeking a highly organized and detail-oriented individual to join our team as an Awards and Scholarship Coordinator. This role will be responsible for managing the entire awards and scholarship process, from application collection to selection and distribution. The ideal candidate will have excellent communication skills, strong project management abilities, and a passion for recognizing and supporting the achievements of association members.
Job Responsibilities:
Develops, implements, and oversees the awards and scholarship process, working with all committees to select recipients for 58 awards and 22 scholarships annually.
Establishes selection criteria, eligibility requirements, and application procedures.
Coordinates with internal stakeholders to ensure alignment with association goals and objectives.
Maintains an up-to-date database of awards and scholarship recipients.
Compiles the list of selected recipients for SME Board approval.
Coordinates the review and evaluation of applications, ensuring confidentiality and integrity throughout the process.
Facilitates meetings and discussions among selection committees to determine winners.
Notifies award and scholarship recipients and coordinates their attendance at the SME Annual Conference & Expo functions (VIP registration/seating). Notifies unsuccessful scholarship applicants.
Collaborates with the marketing team to promote the awards and scholarships through various channels.
Writes the script and program, creates a PowerPoint presentations for the annual dinner.
Orders, proofreads, and packs all necessary awards for the Annual Conference.
Provides training to Volunteers on the process, follows up to ensure deadlines are met, ensures that recipients meet eligibility criteria, and answers questions.
Maintains list of Awards and Scholarship Committees in Association Management System.
Prepares certificates of recognition for presentation at the SME Annual Conference & Expo.
Reviews vendor invoices and submits for payment.
Requests checks for scholarships and awards as needed for those that carry a monetary prize.
Unpacks awards and prepare them for presentation during SME Annual Conference & Expo.
Coordinates VIP photo shoot prior to Annual Awards Banquet and provide photos to recipients when available.
Adds new awards and scholarships/make updates to online portal as needed.
Education and Experience:
S. Diploma/GED and two or more years of administrative or relevant experience
Expert Microsoft Office skills
Exceptional organizational and project management skills
Excellent written and verbal communication abilities
Strong attention to detail and ability to maintain accurate records
Association experience is a plus, but not required
Travel:
Travel may be required for SME’s Annual Conference.
