POSITION TITLE: Manager, Membership Communications & Services
POSITION SUMMARY
The Membership Communications & Services Manager serves as a key leadership team member and an active participant in the organization’s growth strategy. This role is ideal for an experienced, forward thinking, and collaborative professional who thrives in a dynamic nonprofit environment.
The Manager is responsible for overseeing all membership-related activities, including recruitment, retention, and the development and implementation of member benefits and services-all designed to promote membership growth and deliver an outstanding member experience. This position also serves as the primary liaison to multiple Association committees and sections, including the student and resident sections, and manages the Annual Awards and Ceremonies at the Annual Meeting.
In addition to membership responsibilities, the Manager leads the organization’s communications and marketing efforts, ensures data-driven decision making, and delivers strategic insights to leadership.
KEY RESPONSIBILITIES
Membership Strategy & Engagement
Advise the organization on member association best practices and collaborate with the Membership Committee to propose and refine membership requirements, benefits, and services.
Process, review and approve membership applications; compile and prepare committee agendas in cooperation with the Committee Chair, minutes, statistics, and reports.
Plan, implement, and evaluate membership recruitment and retention programs.
Manage dues billing, including discipline-specific dues, and maintain accurate membership records and data.
Administer the Association’s esteemed professional designations application processes and support the Membership Committee in evaluating candidates.
Update designation requirements and policies as needed.
Serve as staff liaison to student and resident sections.
Manage membership records and statistics for the Association and affiliated entities.
Maintain and revise membership-related policies and procedures manuals.
Coordinate and manage the Annual Awards and Ceremonies at the Annua Meeting.
Data Analysis & Reporting
Develops annual budgets and forecasting for various programs, including the annual dues forecast. Monitors the variances between budget and actual expenses and revenues and recommends appropriate action for significant variances.
Create and maintain dashboards and reports to track membership trends, engagement, and retention.
Provide regular data insights and forecasts to the Board and senior leadership.
Identify trends and opportunities using data visualization tools and predictive analytics.
Utilize excel (pivot tables, macros), AI tools and other platforms to ensure data accuracy and insightfulness.
Support strategic planning with data driven recommendations.
A team member, yet an independent learner and problem solver with a strong attention to detail and a passion for turning data into actionable insights.
Communications & Marketing
Develop and manage a content calendar for newsletter announcements and digital communications.
Craft compelling messaging to promote membership, programs, services and benefits.
Oversee branding and consistency across all member facing communications.
Collaborate with internal teams to align messaging across platforms (e.g. website, email, social media), production of Association’s monthly electronic Newsletter, and management of Association’s medical journals.
Market the Association’s offerings to current and prospective members.
Other Duties
Assist in planning and evaluating focus groups and membership surveys, report findings to leadership.
Perform other responsibilities as assigned by the CEO.
REPORTING STRUCTURE
Reports to – Chief Executive Officer
Direct report – Coordinator of Membership Services
QUALIFICATIONS & COMPETENCIES
Bachelor’s Degree required; marketing or communications preferred.
3-5 years of demonstrated experience in a membership association environment; healthcare association experience is a plus.
At least 3 years in a manger or senior level administrative role.
Strong data analysis skills, including Excel (pivot tables, macros), dashboards, and data visualization.
Experience with association management software (AMS/CRM systems) and other related software platforms (Communities and LMS).
Proficient in MS Office Suite, project management tools, content and learning management systems, and marketing automation platforms.
Supervisory and project management experience, including working with contractor and vendors.
Self-starter and self-motivated leader with a solution oriented, creative mindset.
Highly detail oriented with a commitment to highs standards in all aspects.
Outstanding interpersonal and communication skills, both oral and written, with an engaging presentation style.
Strong marketing, organizational, and workflow management skills.
Analytical thinker with the ability to tailor messaging for diverse audiences.
BONUS QUALIFICATIONS
Certified Association Executive (CAE) designation
Relevant certifications in technology systems
IMIS membership platform experience.
Higher Logic Thrive platform (Communities, Elevate and Informz).
Cadmium platform for events and continuing education.
Having experience in a small team nonprofit environment.
